Connect A Gmail Mailbox
Connect Gmail for CRM email sending and sync.
Connect Gmail when your team needs to send or sync customer email from Agiled.
Use the Gmail account that should appear in customer communication. Avoid connecting a personal or test inbox if customers expect replies from a shared business address.
If this mailbox is shared by a team, confirm who owns the Google account and who will maintain the connection when permissions or passwords change.
Confirm the browser is signed into the intended Google account before starting OAuth. Google may approve access for the currently active browser account.
Connect Gmail
- Open Settings.
- Go to Mailboxes.
- Set the backfill days for initial email history.
- Select Connect Gmail.
- Complete the Google authorization flow.
- Return to Agiled and confirm the mailbox appears in connected mailboxes.
Connect during a time when you can send and receive a test message immediately. OAuth success only proves authorization; the workflow is not ready until CRM matching and sending have been verified.
After Connecting
Use Sync now to check delivery and sync behavior. Use Backfill when you need to import recent history based on the backfill-days setting.
Open a known CRM contact after syncing and confirm the expected emails appear. If you connected the wrong Google account, disconnect it before sending customer email and connect the correct mailbox.
Send one test email from Agiled and reply from Gmail. Then sync again and open the related CRM contact to confirm both sent and received messages appear where your team expects them.
Start with a small backfill window. Increase it only after confirming messages are matching the correct CRM contacts and not creating noisy history.
Shared Gmail Notes
If the mailbox is a shared Google Workspace inbox or delegated account, confirm the account used for OAuth can send, read, and keep access over time. A personal Google account should not own a business-critical sales or support mailbox.
Document who owns the Google account, who can recover it, and which team uses the mailbox. Mailbox ownership should survive role changes, password rotation, and teammate departures.
If Authorization Fails
Confirm the Google account is allowed to grant mailbox permissions, the browser is signed in to the correct Google account, and any workspace admin policy allows the requested Gmail scopes. Then try the connection again from Agiled.
If Google Workspace admin approval is required, complete that approval in Google before retrying. Start with a small backfill window until you confirm the mailbox is matching messages to the right CRM contacts.
Troubleshooting
If the mailbox connects but messages do not sync, run Sync now and check whether the contact email addresses match the Gmail thread participants.
If OAuth fails repeatedly, ask the Google Workspace admin to review app access and requested scopes.
If sending works but history does not sync, check Gmail thread participants, contact email addresses, and whether the mailbox has permission to read the needed messages.
If the wrong Gmail account was connected, disconnect it before running another sync or backfill. Then review any contact timelines that may have received messages from the wrong mailbox.
