Review Billing Usage
Check plan limits, current usage, and remaining capacity.
Billing usage shows how much of each plan limit the workspace has used.
Use billing usage when a feature is enabled but creation or connection actions are blocked. The issue may be a plan limit rather than a module or permission problem.
Check usage before assuming a user did something wrong. A blocked button can be caused by plan capacity even when permissions and module settings are correct.
Review Usage
- Open Settings.
- Go to Billing.
- Review the usage cards and progress bars.
- Look for items that are near or at the plan limit.
Usage can include seats, AI credits, storage, workflows, workflow runs, email accounts, calendar connections, projects, invoices, and other plan-controlled resources.
Usage cards help explain why a feature may be unavailable even when the module is enabled. For example, a workspace can have the Finance module enabled but still be blocked from creating more invoices if the current plan limit has been reached.
Check usage from an owner or billing admin account when possible. Members may experience a blocked action without seeing enough billing context to diagnose the limit.
When To Check Usage
Check billing usage when a feature stops allowing new records, when a teammate cannot be invited, or before downgrading a plan.
Also check usage before large imports, new automation rollouts, file migrations, team expansion, or moving from trial to a paid plan.
Large imports and migrations can consume several limits at once, such as records, storage, users, connected apps, workflow runs, or AI credits.
For planned growth, check usage before the work starts. It is easier to upgrade, clean up, or split a rollout before teammates are blocked mid-import or mid-campaign.
What To Do Near A Limit
If usage is near a limit:
- Archive or remove records that are no longer needed, when the module supports it.
- Clean up unused seats, connected accounts, or test data.
- Review storage-heavy files and duplicate uploads.
- Upgrade before a large import or campaign.
- Ask the workspace owner to review billing if you do not have access.
Usage And Plan Changes
Usage numbers may not update instantly after checkout, cleanup, or subscription changes. Refresh billing settings after the change and test the feature that was blocked.
If you upgraded to unblock work, test the exact blocked action after the plan change. A separate role, module, or validation issue can still prevent the action even when the billing limit is resolved.
Troubleshooting
If usage still looks high after cleanup, check archived records, connected accounts, storage-heavy files, and whether the limit counts historical records.
If a teammate cannot invite users or create records, compare billing usage with their role permissions and enabled modules.
When contacting support or a billing owner, include the limit name, current usage, plan name, blocked action, and whether cleanup or upgrade already happened.
Cleanup Before Upgrade
Before upgrading only to solve capacity, check whether the workspace has unused seats, test records, duplicate files, inactive connected accounts, paused workflows, or old imports that can be removed. Upgrade when the usage reflects real work that should remain active.
