Review and download employee payslips.
Payslips give employees a record of gross pay, deductions, and net pay.
Treat payslips as employee-facing payroll records. Review payroll run data before employees rely on downloads.
Where Payslips Appear
Admins review payroll-generated payslips from payroll runs. Employees review their own payslips from HRM > Me > Payslips when self-service access is available.
Payslips depend on payroll source records. Review employee salary, adjustments, deductions, period dates, and payment date before telling employees to download or rely on them.
Review Admin Payslips
- Open HRM > Payroll.
- Open the relevant payroll run.
- Review the payroll entries and totals.
- Confirm the run status, gross pay, deductions, net pay, and payment date.
- Check that every expected employee has an entry.
The payslip table shows employee, period, payment date, and net amount.
Open a sample payslip before publishing the run. Check employee name, pay period, gross pay, deductions, net pay, company details, and any notes or allowances that employees will read.
For large payroll runs, review samples from different departments, salary types, currencies, and adjustment cases. A single sample can miss a deduction, allowance, or formatting issue that affects only part of the team.
Review My Payslips
- Open HRM > Me > Payslips.
- Choose the period.
- Compare gross pay, deductions, and net pay.
- Select Download when you need a copy.
Employees should contact HR if a payslip is missing, the pay period is wrong, or the net amount does not match the expected payroll.
Employees should not edit payroll records directly. They should report the period, amount, and issue to HR so payroll admins can correct the source records and regenerate or republish where needed.
Before Publishing Payslips
Before employees rely on payslips, payroll admins should confirm:
- the payroll run has the correct period
- salary records are current
- adjustments have clear reason codes and notes
- deductions are expected
- payment date is correct
- the run has passed the prepare and approval steps
Employee Access
Employees can view payslips from self-service when HRM and permissions allow it.
Publish And Communicate
After payroll is approved, tell employees when payslips are available and which period they cover. If corrections are still pending, wait to publish or clearly communicate that updated payslips will follow.
Avoid sending payslips through informal channels when self-service is available. Use the employee record and HRM permissions so each employee sees only their own payroll record.
When republishing corrected payslips, tell affected employees which period was updated and whether the correction changed pay, deductions, or only supporting details.
Troubleshooting
If an employee cannot see a payslip, confirm the payroll run includes them, the payslip exists for the period, HRM self-service is enabled, and the user is linked to the correct employee record.
If amounts look wrong, review salary records, adjustments, deductions, payroll period, and payment date before publishing corrections.
If an employee sees another person’s payslip or cannot access their own, check linked user, employee record, HRM self-service permissions, and active workspace immediately before sharing any payroll data.
If a payslip amount is wrong, correct the payroll source data first. Do not edit only the downloaded file, because reports and future payroll review will still use the source records.
