Request Leave

Submit a leave request for an employee or from self-service.

Leave requests help teams review and track planned time away.

Submit leave before the time away begins when possible. Early requests give managers time to review coverage, holidays, payroll timing, and workload.

Use the leave request as the source record for time away. Side messages can explain urgency, but HR and managers should be able to review the formal request later.

Who Can Submit Leave

Employees can submit their own leave from self-service. Admins and managers can submit leave from the HRM leave area when they are recording leave on behalf of an employee.

When an admin submits leave for someone else, add enough context so the employee and approver can understand why the request exists.

Submit A Leave Request

  1. Open HRM > Leaves or HRM > My Leaves.
  2. Select Request leave.
  3. Choose the employee if you are submitting as an admin.
  4. Choose the leave type.
  5. Enter start date and end date.
  6. Add the reason.
  7. Add comments if needed.
  8. Submit the request.

Before Submitting

Check that the leave type is correct and that the date range matches the actual time away.

Also check public holidays, half-day or full-day expectations, team coverage, and any company policy about notice periods.

If the request affects customer delivery, appointments, payroll cutoff, or shift coverage, mention that context in the reason or comments so the approver can make the right decision.

Avoid Duplicate Requests

Before submitting, check existing pending or approved leave for the same dates. Duplicate or overlapping requests make manager review and payroll preparation harder.

Leave Request Fields

  • Employee: visible for admins submitting on behalf of someone else.
  • Leave type: the configured category, such as annual leave or sick leave.
  • Start date and End date: the full leave period.
  • Reason: required explanation for the request.
  • Comments: optional extra context.

After Submission

The request is available for approval or rejection. Managers should compare the date range with holidays, attendance, workload, and leave balances before making a decision.

If the leave should affect attendance, use the approved leave status rather than marking the employee absent.

Employee Follow-Up

After submitting, watch the request status. If the dates are urgent or affect a handoff, notify the manager through your normal team process instead of assuming the request will be seen immediately.

Change or Cancel a Request

If dates change after submission, ask a manager or HRM admin whether to edit, cancel, or reject and recreate the request. Do not create duplicate overlapping requests unless your company process requires it.

Troubleshooting

If you cannot submit leave, confirm HRM is enabled, your employee record is linked, and your role allows leave requests.

If the wrong leave type was selected, ask a manager or HRM admin to edit or reject the request according to your process.

Good Request Notes

A useful leave note explains the date context, coverage impact, and any special approval need. Avoid putting private medical or personal details into the request unless your company policy requires them.

Request Changes Safely

If dates, leave type, or coverage plans change, update the existing request through your manager or HRM admin instead of creating a second overlapping request. Duplicate requests can affect availability, attendance, payroll review, and team coverage planning.

After a change is approved, confirm the calendar, attendance, and payroll expectations still match the final leave dates.
