Prepare, Approve, And Mark Payroll Paid

Use the payroll run detail page to prepare payroll, approve it, add adjustments, filter entries, and mark the run paid.

The payroll run detail page is where a payroll owner moves a run through preparation, approval, payment, and adjustment review.

Use this page after creating a payroll run and before employees rely on payslips or payment status.

Open A Payroll Run

  1. Open HRM > Payroll.
  2. Select the payroll run.
  3. Review the run status and employee entries.
  4. Search for specific employees or filter entries by adjustment status.

The page actions depend on the run status. Draft runs can be prepared, prepared runs can be approved, and approved runs can be marked paid.

Prepare Payroll

Use Prepare Payroll when the draft run is ready for final review. Before preparing, check employees, salaries, pay period, expected totals, leave, attendance corrections, and holidays.

If a source record is wrong, fix the source record first instead of relying on a manual adjustment.

Add Adjustments

Use adjustments for approved payroll changes such as bonuses, reimbursements, corrections, deductions, or one-time allowances.

Each adjustment should have:

  • employee;
  • amount;
  • reason code;
  • note explaining the change.

After adding an adjustment, filter for entries with adjustments and review the net pay impact before approval.

Approve Payroll

Approve only after the payroll owner has reviewed exceptions, employee counts, salary changes, and adjustments. Approval should mean the run is ready for payment processing.

If totals change unexpectedly, compare the run with the previous payroll period and review employees with new salaries, termination dates, unpaid leave, or manual adjustments.

Mark Paid

Use Mark Paid only after payment is complete in your payroll or banking process. Marking paid is an operational status change; it should match what employees and finance will see outside Agiled.

After marking paid, confirm payslip access and keep any external payment reference where your payroll process expects it.
