Calendar Sync

Connect calendars so scheduling can avoid conflicts and sync events.

Calendar sync helps Agiled understand when a user is busy and lets scheduling create or update external calendar events.

Supported Calendar Connections

Agiled supports calendar integrations such as Google Calendar and Outlook Calendar. Apple Calendar support should be verified against the current app connection before publishing final provider instructions.

Use provider setup docs when a user needs to create or reauthorize the external connection:

Sync Checks

After connecting a calendar, confirm the calendar appears in scheduling settings, then test a booking. Check that the booked appointment appears where expected and that busy events block public availability.

Use a private browser window for the public booking test. This confirms the visitor experience, not just the signed-in scheduling settings page.

What Sync Affects

Calendar sync can affect:

  • public slot availability
  • conflict detection
  • external event creation
  • rescheduled appointment updates
  • cancellation cleanup, when supported by the provider

Calendar sync does not replace availability rules. Availability, event type duration, buffer time, date range, questions, payment settings, and host assignment still control what the public page can offer.

Choose Sync Direction Carefully

Use Agiled as the place where booking pages, event types, and customer intake are configured. Use the external calendar for personal busy time and the event copy your team expects to see in Google Calendar or Outlook.

If teammates edit events directly in the provider calendar, verify whether those changes are reflected in Agiled before relying on them for customer reminders, reschedules, or reports.

When to Reconnect

Reconnect the provider when:

  • busy events stop blocking slots
  • bookings stop appearing on the external calendar
  • the provider password or permissions changed
  • the user connected the wrong calendar account
  • the integration was disconnected or expired

Reconnect from the same user account that owns the booking page or host availability. If the wrong Google or Microsoft account is connected, disconnect it before testing again so busy checks do not use the wrong calendar.

Even when provider sync is not available, the public confirmation page can still offer Google Calendar, Outlook, Apple Calendar, and ICS actions for the visitor.

These visitor links add the appointment to the visitor's calendar. They do not prove that your workspace calendar sync is working. Always check the host's connected calendar separately.

Diagnose Sync Problems

If a booked appointment does not appear externally:

  • confirm the calendar connection is still active
  • confirm the expected calendar is marked primary
  • check whether the appointment was created before the calendar was connected
  • verify provider permissions or admin policies
  • reconnect the calendar if the provider password, organization policy, or consent grant changed

If busy time does not block a slot:

  • confirm Check conflicts is enabled for the calendar with the busy event
  • check the busy event status in the provider calendar
  • confirm the booking page host is the same user whose calendar is connected
  • review event type buffers and availability windows

Sync Change Checklist

After reconnecting a calendar or changing sync settings, test create, reschedule, cancel, and conflict-blocking behavior. Check both Agiled and the external calendar after each action.

If one action fails, do not assume the whole connection is broken. Review the event type host, selected calendars, provider permissions, and whether the appointment existed before the sync change.
