Manage Appointments

Review booked meetings and appointment details.

Appointments are created when someone books through a scheduling page or when an appointment is added through the scheduling workflow.

Review appointments from Agiled before important calls so customer details, questions, location, and calendar state are all in one place.

Use the appointment record as the source of context for the meeting. Use the external calendar as a schedule mirror, not the only place where booking details live.

If a booking collects questions, payment, or CRM context, review the Agiled appointment before the meeting instead of relying only on the calendar title.

Review Appointments

  1. Open Scheduling > Appointments.
  2. Review upcoming and past appointments.
  3. Open an appointment to see the attendee, event type, time, location, notes, and related booking information.

Use filters or date ranges before busy weeks so upcoming appointments, past appointments, cancelled meetings, and rescheduled meetings are not mixed together during review.

What to Check

Confirm the appointment has:

  • The correct attendee name and email.
  • The right event type.
  • The correct date, time, and timezone.
  • The expected location or meeting link.
  • Any notes or questionnaire answers needed before the meeting.

If payment was required, confirm the payment or order status before the meeting. If the appointment was created from a public booking page, check the answers the attendee submitted before opening the call.

Appointment Follow-Up

Use the appointment details to prepare for the meeting. If the booking should create CRM activity, tasks, projects, or time entries, confirm the event type automation settings.

After the meeting, update the related CRM record, task, deal, project, or note so the appointment outcome does not stay isolated in scheduling.

If the meeting creates next steps, add a task with owner and due date while the context is fresh. Scheduling records show that the meeting happened; CRM and productivity records should hold the follow-up.

Before The Meeting

Before important appointments:

  1. Confirm attendee identity and email.
  2. Review submitted questions or notes.
  3. Check payment status if required.
  4. Open related CRM, deal, project, or ticket records.
  5. Confirm the meeting link or location works.

Reschedule Or Cancel

If the appointment needs to move, use the supported reschedule or cancel action instead of only changing the connected calendar event. This keeps Agiled, customer notifications, and calendar sync aligned.

Troubleshoot

If an appointment is missing, check the public booking page, event type, connected calendar, payment requirement, and workflow run history. If the time looks wrong, compare the workspace timezone, event type timezone, and attendee timezone.

If the appointment appears in Agiled but not the external calendar, reconnect the calendar and confirm the write calendar for the event type.

If the appointment appears twice, check whether it was manually created in the external calendar and also booked through Agiled. Keep Agiled as the source for booking changes so notifications and availability stay aligned.

After The Meeting

Record the outcome where the team will act on it. Add CRM notes for sales or customer context, tasks for follow-up work, project updates for delivery, and finance records when the meeting changes billing or payment expectations.
