Review Expense Details

Audit an expense record, receipt attachments, tax, project, recurring status, and approval history.

The expense detail page shows one expense with its amount, tax, category, vendor, project, payment method, receipt attachments, recurring information, and approval history. Use it to verify whether an expense is ready for reporting, reimbursement, billing review, or accounting export.

Open an expense from Finance > Expenses, a project, report, or receipt review workflow.

Review The Header

Start with the header information:

  1. Expense title or merchant.
  2. Status.
  3. Total with tax.
  4. Expense date.
  5. Category.
  6. Payment method.
  7. Project, when the expense belongs to delivery work.

If the expense is attached to the wrong project or category, update it before running reports. Project and category mistakes are hard to spot later in summary reports.

Check Amount And Tax

Review the subtotal, tax amount, tax rate, and total with tax. Confirm whether tax is inclusive or added on top of the base amount.

For reimbursable or billable expenses, compare the total against the receipt. For tax reporting, confirm the tax label and rate match your finance settings.

Review Receipts And Attachments

The detail page can show receipt previews and attachment downloads. Open the receipt when the amount, tax, merchant, or date needs verification.

Before approving or exporting the expense, confirm:

  • the receipt belongs to this expense
  • the receipt date matches the expense date
  • the total matches the recorded total
  • tax is captured correctly
  • any missing receipt is explained in notes

If an attachment is wrong, remove or replace it from the expense workflow rather than leaving misleading evidence attached to the record.

Review Status History

Expense status can show submitted, approved, rejected, or pending context. The detail page can also show who approved or rejected the expense and when that happened.

When rejecting an expense, keep the reason clear enough that the submitter knows what to fix. When approving, make sure the receipt and category are already correct.

Check Project And Recurring Context

If the expense belongs to a project, confirm the project is the correct delivery context. This keeps project profitability and cost reporting accurate.

If the expense is recurring, review recurring status before editing. A change to one expense may not update future recurring expenses unless the recurring setup is also updated.

Before Month-End Review

Use this checklist before closing a reporting period:

  • every approved expense has a valid category
  • receipt attachments are present or missing receipts are explained
  • project expenses are attached to the correct project
  • tax values are correct
  • rejected expenses are not included in reimbursement
  • recurring expenses were generated only once
