Edit A Recurring Invoice Template
Update recurring invoice schedule, customer, line items, taxes, and delivery settings safely.
Edit a recurring invoice template when the customer's recurring billing terms change. The edit page uses the invoice editor in recurring mode, so the same invoice fields are available with recurring schedule settings.
Open The Editor
- Open Finance > Recurring Invoices.
- Select the recurring invoice.
- Choose Edit.
- Review the current customer, schedule, line items, taxes, totals, and payment settings before saving.
If you only need to stop billing temporarily, use pause from the detail page instead of changing the schedule.
Fields To Review
Before saving, check:
- customer and billing contact;
- invoice title and reference;
- recurrence frequency and start or next generation date;
- payment terms and due date behavior;
- currency, locale, tax settings, discounts, and totals;
- products, custom line items, descriptions, quantities, and prices;
- sales agent, project, and template selection;
- offline payment methods and payment gateways.
Small recurring invoice changes can repeat every cycle, so review totals before and after saving.
Schedule Changes
When changing frequency or dates, confirm whether the next invoice should cover the old period, the new period, or a catch-up period. If a manual invoice is needed for the transition, create or generate it separately and explain the period to the customer.
Avoid changing the schedule immediately after an invoice is generated unless the billing owner has confirmed the next period.
Pricing Changes
When changing line items or prices, confirm the effective date with the customer agreement. If old invoices already exist, update only the recurring template and handle previous invoice corrections separately with invoice edits, credit notes, or payments as appropriate.
After Saving
After saving, return to the recurring invoice detail page and confirm:
- next generation date;
- status;
- total;
- customer and delivery settings;
- action availability.
Then add any internal reminder needed to review the next generated invoice.
