First-Day Checklist

A practical checklist for getting a new workspace ready.

Use this checklist after creating the workspace and before inviting the whole team.

Account and Workspace

  • Create your account.
  • Verify your email.
  • Complete guided onboarding.
  • Confirm the workspace name and URL.
  • Add the logo and business profile details.

Open the workspace in a fresh tab after setup and confirm the name in the sidebar before creating records. If you belong to multiple organizations, this prevents first-day data from being added to the wrong workspace.

Modules and Permissions

  • Enable the modules your team will use.
  • Hide modules you do not need yet.
  • Review owner, admin, and member roles.
  • Create custom roles if needed.
  • Test access with one teammate before inviting everyone.

Do the permission test with a non-owner account. Owners can see and do more than most teammates, so owner-only testing can hide missing module access or overly broad permissions.

Business Setup

  • Configure language, region, currency, and date format.
  • Review finance numbering, taxes, payment methods, and templates.
  • Add CRM pipelines and stages.
  • Create project and task templates if your team repeats similar work.
  • Create booking pages or forms if customers will use public links.

Do this before inviting the full team. Early settings become defaults in invoices, estimates, bookings, forms, imports, and reports.

Data and Integrations

  • Import contacts, accounts, deals, products, projects, tasks, employees, or expenses if you are migrating from another tool.
  • Connect calendars before sharing booking pages.
  • Connect mailboxes before sending customer emails from Agiled.
  • Connect payment gateways before sending payable invoices or checkout links.

Start with one data source at a time. Importing CRM, finance, projects, and HRM all at once makes it harder to find mapping mistakes.

Connect only the integrations needed for the first verified workflow. Add secondary providers after the team confirms the core customer path works.

Test Core Workflows

  • Create a contact and account.
  • Create a deal and move it through the pipeline.
  • Create and send a test invoice or estimate.
  • Create a project and assign a task.
  • Create a booking page and complete a test booking.
  • Create a form and submit a test response.
  • Create a document and send it for signature.

Use test records that are clearly named as tests, then delete or archive them after review. This keeps the workspace clean before real customer work begins.

First-Day Review

Before inviting the full team:

  1. Open each enabled module.
  2. Confirm the main create action works.
  3. Confirm one public link opens in a private browser window.
  4. Confirm one notification or email reaches the expected inbox.
  5. Confirm reports and dashboards are not blocked by missing setup.
  6. Write down the remaining setup tasks and owner.

What To Delay

Delay advanced workflows, large imports, broad AI worker permissions, and custom domains until the basic customer flow works. It is easier to troubleshoot the workspace when the first-day setup is simple and verified.

First Invite Checklist

Before inviting everyone:

  • test one non-owner user account
  • test one customer-facing link in a private browser
  • verify one email or notification is delivered
  • confirm billing and public document identity
  • write down unfinished setup work and owners
