File Preview And Versions

Inspect file details, download files, replace files, and restore older versions.

The preview panel lets you inspect a file without leaving the file manager. Supported files open in an embedded preview, and every file shows important metadata.

Use preview before sharing or replacing files. It is the fastest way to confirm you are working with the right file and version.

Open A Preview

  1. Open Files.
  2. Select a file card, row, or Preview action.
  3. Wait for the preview panel to load.

If the file can be previewed in the browser, it appears in the preview frame. If the browser cannot preview it, use Download to open the original file on your computer.

Read File Details

The preview panel can show:

  • File type
  • File size
  • Last updated date
  • Version count
  • Version history

Use these details before sharing, replacing, or restoring a file.

Confirm Context

Before downloading, replacing, or restoring, confirm the file belongs to the right workspace, folder, and related record. Similar filenames are common after imports, document revisions, or customer handoffs.

Download From Preview

Select Download in the preview panel to download the original file. Download links are secure and can expire, so use the current download button instead of reusing an old copied URL.

Replace A File Version

If you have edit permission, select Replace version and choose the replacement file from your computer.

Use replacement when the file is still the same business asset, such as a newer contract draft or updated project deliverable. Upload a separate file when the new file should be tracked independently.

Before replacing a file used by customers, confirm whether shared links, documents, projects, invoices, or tasks reference the file. Replace only when the new version should become the current source for everyone.

Restore An Older Version

If version history is available, open the preview panel and choose Restore beside the version you want to bring back.

Restoring a version makes that version current again. Check the preview or download the file after restoring to confirm it is the correct version.

When to Upload Separately

Upload a separate file when the new file is a different contract, deliverable, receipt, or customer document. Use versions only when the file is the same asset with a newer or corrected copy.

Version Safety Checklist

Before replacing or restoring:

  • confirm the file name and record context
  • download the current version if you may need to compare it
  • verify the replacement file opens locally
  • check whether anyone is using a public share link
  • add a note or comment in the related record when the version change matters

If the new file changes the business meaning, upload it as a separate file instead of replacing the old version.

Customer-Facing Version Changes

If a file has already been shared with a customer, check where it was used before replacing it. Documents, invoices, project handoffs, public shares, and chat attachments may all depend on the current version.

When the change matters, add a note to the related record so teammates know why the file changed.
