Share Files
Create internal or external file shares.
File sharing gives another person access to a file without sending the original file manually.
Open The Share Dialog
- Open Files.
- Find the file you want to share.
- Open the file action menu.
- Select Share.
If Share is disabled, you may not have permission to share that file, or the file may be archived.
Choose A Share Type
The share dialog can include these options:
- External link creates a link for someone outside your workspace.
- Internal shares the file with a workspace member.
Choose the narrowest access that matches the recipient.
For internal shares, choose the workspace member. For external links, configure link security before copying the URL.
Set Access Level
Access levels control what the recipient can do:
- View lets the recipient open or download the file.
- Edit allows changes where supported.
- Manage is for trusted users who need broader file control.
Use View for most external links.
Choose The Recipient Path
Use the sharing path that matches the relationship:
- Use an external link for a one-off recipient who does not need workspace access.
- Use internal sharing for teammates who should find the file inside Agiled.
- Use record attachments when the file belongs to an invoice, document, expense, project, ticket, or task.
Secure An External Link
For external links, you can set:
- Expiration date to stop access after a date.
- Maximum downloads to limit repeated downloads.
- Password when the file should not be accessible from the link alone.
After creating the share, copy the latest link from the dialog.
External recipients open a public shared-file page. If the share is password protected, they must enter the password before preview and download links are available.
The public page shows:
- file or folder name
- file type and MIME type when available
- file size
- expiry information
- download count
- remaining downloads
- active/inactive status
- password requirement
- preview and download buttons when available
Test Sensitive Shares
For sensitive files, open the copied link in a private browser before sending it. Confirm the password prompt, expiry, filename, preview/download behavior, and download limit match what you intended.
Send the password through a different channel from the link when the file is confidential.
Revoke A Share
Open the share dialog and revoke the active share when the recipient no longer needs access. Revoking stops that shared link from being used again.
Review active shares after a project closes, a contract is signed, an invoice is paid, or an external collaborator no longer needs access.
When A Recipient Cannot Open The Link
Check:
- the share is still active
- the expiration date has not passed
- the max-download limit has not been reached
- the password is correct
- the recipient is using the latest copied share URL
- the file was not deleted or moved beyond their access
