Preview and Download Files
Open file previews and download original files.
File previews help you quickly inspect supported files without downloading them.
Open a Preview
Open Files, find the file, then select Preview from the row menu, card menu, or context menu. In grid view, selecting the main file thumbnail area also opens the preview when you have view permission.
The preview opens in a side sheet. It shows:
- file name
- file type
- file size
- browser preview, when available
- updated date
- version count
- version history
- download action
If the preview is still loading, wait for the loading state to finish. If Agiled cannot preview the file type, the sheet shows that preview is unavailable.
Download From Preview
Select Download in the preview sheet when you need the original file. The download uses the current file access route and may be a signed link. Do not save old download URLs as permanent links.
Use the file record or share link as the permanent reference, not the generated download URL. Signed download links can expire or become invalid after access changes.
Download From the File List
You can also download from:
- the file row action menu
- the file card action menu
- the right-click context menu
- the public shared-file page, when the share allows it
Downloads require view permission. If the action is disabled, check whether the file was deleted, your role changed, or the share expired.
Replace a File Version
When you have edit permission, the preview sheet and file action menu can show Replace version. Use it when the file should keep the same record but the content needs to be updated.
Good uses:
- replacing a draft with a signed copy
- uploading a revised proposal
- updating a delivery file without changing links
- correcting an accidentally uploaded version
After replacing a version, reopen the preview and confirm the version count and updated date changed.
If the file is customer-facing, check any public share, document attachment, or project handoff after replacing it. The active file may change while old customer instructions still mention the previous version.
Restore a Previous Version
The version history in the preview sheet lists previous versions. Select Restore on an older version when the current file is wrong and a prior version should become active again.
You cannot restore the version that is already current.
Public Share Preview and Download
External shared-file pages can show Preview file and Download file. If a share is password protected, the recipient must unlock the share first. Passwords are passed to the preview/download route for that shared link.
Public share limits also matter:
- inactive shares cannot be used
- expired shares should stop working
- max-download limits can block repeated downloads
- password-protected shares need the latest password
If Preview or Download Fails
Check:
- your file permission
- whether the file is in trash
- whether the share is still active
- whether the password is correct
- whether the max-download limit was reached
- whether the copied preview/download URL expired
- whether the file type can be rendered in the browser
If download works but preview does not, the file may still be valid. Use download for review and update the file type or format only when browser preview is required for the workflow.
