Add Employees and Set Up Leave Tracking

Configure HRM for employees, attendance, leave, holidays, and payroll basics.

Use this guide when you want Agiled to track employee records and leave requests.

Set up the foundation before asking employees to submit real leave requests. Leave history and approvals are only useful when employee records, leave types, teams, and holidays are accurate.

Do this setup before payroll or attendance reporting depends on leave data. It is much harder to clean up leave history after employees have submitted real requests against incomplete policies.

Steps

  1. Configure departments, positions, leave types, and salary components in HRM settings.
  2. Add employees.
  3. Create teams if you need grouped reporting or management.
  4. Add holidays.
  5. Confirm leave policy settings.
  6. Ask employees to submit test leave requests.
  7. Approve or reject the requests.
  8. Review attendance and leave reports.

Add Payroll Later

Do not rush payroll setup. Add salaries, payroll adjustments, and payroll runs after employee profiles, leave types, and attendance records are correct.

Payroll depends on clean employee and leave data. Treat leave setup as the HRM foundation, then add compensation and payroll once the employee records are trusted.

Verify With One Employee

Create or choose one employee profile and run the full flow:

  1. Confirm department, position, manager, and employment status.
  2. Submit a test leave request.
  3. Approve or reject it as a manager.
  4. Check the leave list and HRM report.
  5. Remove or clearly label the test record if it should not remain in history.

Configure Leave Types Carefully

Leave type names should match the language employees and managers already use, such as annual leave, sick leave, unpaid leave, parental leave, or emergency leave. Set approval expectations before employees start submitting requests.

If different teams follow different holiday calendars or policies, test one employee from each group before rollout. A single successful request does not prove every team is configured correctly.

Manager And Employee Readiness

Before rollout, confirm each employee has the correct manager, department, position, and user account. Leave approval depends on people data being accurate, not only on leave types existing.

Tell employees which leave types to use and when requests should be submitted. Tell managers how quickly requests should be reviewed and where to check pending leave. Clear expectations prevent HRM from becoming only a recordkeeping tool after decisions were already made elsewhere.

Common Setup Issues

If employees cannot request leave, check that HRM is enabled, the employee profile exists, leave types are configured, the user has access, and the request dates do not conflict with policy or holiday setup.

If managers cannot approve leave, check reporting relationships, role permissions, and whether the manager is reviewing the right team or employee record.

Rollout Checklist

Before inviting employees to use leave self-service:

  • Confirm every active employee has the right user account linked.
  • Confirm leave types match your policy names.
  • Confirm holidays are set for the right teams or workspace.
  • Test one manager approval.
  • Review the leave report after the test.

After Rollout

Review the first week of requests for missing employee links, incorrect leave types, duplicate holidays, or requests submitted to the wrong manager. Fix setup issues early before they affect payroll, attendance, or leave balances.

Troubleshooting

If leave balances or reports look wrong, check leave type setup, employee team, holiday assignments, and whether test requests were left in the system.
