Manage Form Template Library
Review, create, open, and organize reusable form templates.
The form template library stores reusable form structures for CRM, HRM, scheduling, support, and custom intake workflows.
Use the library when your team repeats the same intake pattern and wants new forms to start from a reliable structure.
Keep templates generic enough to reuse. Put campaign-specific copy on the final form instead of the shared template.
The library should contain approved starting points, not every form the team has ever created. Too many similar templates make users choose the wrong one.
Open Form Templates
- Open Templates.
- Go to Forms.
- Review the template cards.
Each card shows the template name, field count, and category. Select a card to open the template preview.
Review old templates periodically. Remove or rename templates that mention old campaigns, retired services, or internal processes your team no longer uses.
Before removing a template, confirm it is not still referenced in an internal wiki, onboarding checklist, workflow setup guide, or team process.
If a template is outdated but still referenced, rename it with an archive marker and create the replacement before removing it. This gives teams time to update their process links.
Create a Blank Form Template
- Open Templates > Forms.
- Select New form template.
- Enter the template name.
- Select Create.
- Open the new template and edit its fields.
Use a clear name that explains the form's purpose, such as "Support request" or "Customer onboarding intake".
Add fields that are reusable across future forms. Put one-off campaign language on the final CRM form instead of in the shared template.
After creating the template, create one test form from it. This confirms the library card, preview, field order, and reusable copy make sense outside the original editing context.
Maintain the Library
Review templates after field changes, workflow changes, campaign changes, and CRM mapping changes. Rename or remove old templates before teammates copy stale fields.
Use categories and descriptions as maintenance tools. A teammate should be able to choose the right template without opening every card.
Open a Template
Select a template card to open its detail page. The detail page shows the template preview area and actions to edit the template or return to the template library.
Before using a template for a new public form, check field order, required fields, labels, helper text, and whether the template still matches the intended submission action.
Troubleshooting
If a new form created from a template behaves differently from preview, review the final form settings, mappings, notifications, and public share settings.
If the library is crowded, archive or rename old templates so the current baseline is obvious.
If a template creates forms with broken mappings, update the template first and then review any recently created forms that may have copied the bad setup.
Library Review Routine
Each quarter or after CRM changes:
- Remove duplicate templates.
- Rename unclear templates.
- Check field order and required fields.
- Confirm mappings still match CRM fields.
- Create one test form from the most-used templates.
Use the review to keep the library small enough that teammates can make good choices quickly.
