Client Access and Starting an Onboarding Flow
Assign a published template to the right contact and prepare portal access.
An Onboarding Flow is assigned to a contact and requires that client to sign in. It is not an anonymous public link.
Start a flow
- Open Automations > Onboarding Flows > Active.
- Select Start flow.
- Choose a published template.
- Select the intended contact and check their email address.
- Start the flow and review the result.
Starting prepares portal access automatically and sends an invitation when needed. The result can report that access was activated or an invitation was sent. An existing active client may not need another invitation.
If Start flow is disabled, publish a template first and confirm that your role can manage flows.
What the client does
The client signs in with the account associated with the invited contact, opens their portal onboarding, and completes the available steps. Required steps must finish before progression. A step held for a Workflow release remains unavailable until the automation releases it.
Keep the invitation tied to the intended contact. If the client signs in under a different address, resolve the account or invitation mismatch before starting duplicate runs.
Test before a broad rollout
Use Preview for layout checks. For a full portal test, choose a contact whose portal access and email delivery you intend to use, then review both the client result and the run's recorded progress.
Starting, submitting forms, booking appointments, or uploading files are real actions. A successful preview does not verify those outcomes.
When access fails
Confirm the client used the correct invitation and account. Review membership/access status and any delivery error. If the run is paused, resume it only when the client should continue. See Review and troubleshoot onboarding.
